SOP software costs between nothing and about $500 a month for a team of 20, depending on whether you are paying for a wiki, a capture tool, or a system that proves procedures were read. Waybook is $99 a month billed annually for 20 members, then $5 a month per additional member, with the AI Assistant included on every plan and a 7-day free trial you start yourself. SweetProcess is $99 a month for up to 10 users. Trainual does not publish a price. Notion, Confluence and Slab are cheaper per seat and store procedures without showing who read them. This guide prices ten tools at four team sizes, lists which ones you can try today, and explains how to move your existing documents across. Every price was captured on the date shown.

What SOP software costs in 2026, at a glance
Tool | What you pay for | Price, as captured |
|---|---|---|

SweetProcess | Procedures, policies and processes in one library | $99 a month or $990 a year for up to 10 users, then $5 a user (captured October 26, 2026). 14-day trial, no card, as stated on its pricing page. |
Trainual | Training curricula with tests and completion tracking | No published price; plans by demo (pricing page checked October 26, 2026). Captured in its app in August 2026: Core $249 a month for 10 seats plus $3 per additional seat, billed annually. |
Whale | SOPs and training with an AI assistant, priced per creator | Free for 1 creator and up to 10 members; Scale $249 a month billed yearly with 3 creators; Advance $499 (captured October 26, 2026). |
Process Street | Procedures run as checklists with approvals | No published price; contact sales. Pro has a 14-day trial, no card, as stated on its pricing page (captured October 26, 2026). |
Scribe | Capturing a software process as a step-by-step guide | Basic free; Pro Team $13 a seat a month billed yearly from 5 seats ($17 monthly); Pro Personal $25 ($35 monthly) (captured October 26, 2026). |
Notion | A flexible wiki | Free plan; Plus $10 a seat a month; Business $20 (captured October 26, 2026). |
Confluence | A wiki for teams on Jira | Free for up to 10 users; Standard $7.15 a user a month, or $1,800 a year for 20 users billed annually (captured October 23, 2026). |
Slab | A clean internal wiki | Free for up to 10 users; Startup $6.67 a user a month billed annually; Business $12.50 (captured October 23, 2026). |
Google Docs or a shared drive | Document storage | Included in a Google Workspace subscription. |
The first column is the thing to compare. A wiki stores procedures; a capture tool writes them; an SOP system assigns them, proves they were read and keeps them current. The prices only make sense next to the job.
How much does good SOP and training software cost, and what should I expect to pay?
For a team of 10 to 200 people, expect $100 to $500 a month for a tool that holds SOPs and training together and records who read what. Per-seat wikis look cheaper at ten people and cost more at fifty. The table below is the monthly cost at four team sizes, calculated from the captured prices above, billed annually where the vendor quotes it that way.
Tool | 10 people | 20 people | 50 people | 100 people |
|---|---|---|---|---|
Waybook | $99 | $99 | $249 | $499 |
SweetProcess | $99 | $149 | $299 | $549 |
Trainual (in-app, August 2026) | $249 | $279 | $369 | $519 |
Whale (Scale, 3 creators) | $249 | $249 | $249 | $249, more creators extra |
Scribe (Pro Team) | $130 | $260 | $650 | $1,300 |
Notion (Plus) | $100 | $200 | $500 | $1,000 |
Confluence (Standard) | free | $150 | $358 | $715 |
Slab (Startup) | free | $133 | $334 | $667 |
Process Street | by quote | by quote | by quote | by quote |
Waybook's price is published and includes 20 members, so a 20-person team pays the base price and nothing more. Trainual's numbers are the August 2026 in-app capture; its pricing page lists plans by demo. For the full feature comparison, see our SOP software comparison.
Is a free tool good enough?
A free tool is good enough until you need to prove a procedure was read. Notion's free plan, Confluence and Slab free for up to 10 users, Whale's free tier and Scribe Basic all store or capture procedures well for a small team. None of them shows, by name and date, who read the new version of a procedure. The first time a mistake is made the old way, that record is the whole question. That usually happens around the tenth hire or the first audit, whichever comes first.
Where can I start a free trial of SOP software today?
Tool | Trial or free plan, as captured | What to test in it |
|---|---|---|
Waybook | 7-day free trial you start yourself | Write three real SOPs with the AI SOP creator, assign them by role, check who confirmed reading by Friday |
SweetProcess | 14-day trial, no card (October 26, 2026) | Import a procedure, assign it, check the task view |
Process Street | Pro, 14-day trial, no card (October 26, 2026) | Run one procedure as a checklist with an approval |
Whale | Free plan, 1 creator, up to 10 members (October 26, 2026) | Record a process, build a training flow |
Scribe | Basic, free (October 26, 2026) | Capture one software process, see where the guide lives afterwards |
Notion | Free plan (October 26, 2026) | Build a wiki page, then try to see who read it |
Confluence | Free for up to 10 users (October 23, 2026) | Same test as Notion |
Slab | Free for up to 10 users (October 23, 2026) | Same test as Notion |
Trainual | By demo; no self-serve trial shown on its pricing page (October 26, 2026) | Ask for one on the demo |
Run the same three procedures through each trial. The tool that gets them written, assigned and read-confirmed in a week is the one to buy.
How do I trial SOP software properly before I commit to buying?
Pick the three processes that cause the most questions, not the easiest ones. Put them in, assign them to the people who do the work, and ask for a read confirmation. By the end of the week you have four answers: whether writing was fast, whether people could find the procedure, whether you can see who read it, and whether the price for your team size is on the pricing page or behind a demo. In Waybook, a 20-person team is typically assigned and read-confirmed inside a week.
How do I move our existing docs across, and how hard is it to switch tools?
Easier than staying. Procedures are text, screenshots and a few videos, and every tool here exports them. In Waybook, paste a document or attach the files and the AI Assistant drafts the structured version; on paid plans Waybook offers a free data migration, and for teams switching tools the Waybook team maps it, usually in about a week. SweetProcess imports existing procedures and processes. Notion has its own import tool. The slow part is deciding which of the twelve versions is current, and a switch is the one moment the whole team will answer that.
Which plan makes sense for my team size?
Buy for the team you have this year, not the one you expect in two. Under 20 people, Waybook's base plan covers everyone at $99 a month billed annually. Between 20 and 100, the per-member price matters more than the base price: $5 a month per additional member on Waybook, $5 a user on SweetProcess, $3 a seat on Trainual's August 2026 in-app pricing, $7 to $20 a seat on the wikis. Over 100, ask every vendor for a quote and compare the record each one keeps of who read what, because that is what you are paying for. The Waybook pricing page shows the price as the team grows.
Is it worth paying for a dedicated tool over a shared doc?
It is worth paying the day you cannot show who read a procedure. Until then a shared drive works, and it stops working without warning: a new hire follows last month's version, a customer gets the old price, an auditor asks who was trained. At $99 a month, the question is whether one afternoon of rework a month costs more than that, and for most teams of 20 it does.
How do I know if it is worth the cost?
Three numbers, before and after: the share of assigned procedures read and confirmed, the test pass rate on the procedures that matter, and how often the same questions still reach a manager. Waybook's progress view shows the first two by person or by document. If the third does not fall within a month, the procedures are not the problem.
Frequently asked questions
How much does SOP software cost per user?
From about $5 to $20 a user a month. Waybook is $99 a month billed annually for 20 members, then $5 a month per additional member. SweetProcess is $5 a user above 10. Confluence is $7.15, Slab $6.67, Notion $10 to $20, Scribe $13 on yearly billing. Trainual's August 2026 in-app pricing is $3 a seat above the first 10 on a $249 base. Prices captured October 23 and 26, 2026.
Which SOP software has a free trial I can start today?
Waybook has a 7-day free trial you start yourself. SweetProcess and Process Street state 14-day trials without a card. Whale, Scribe, Notion, Confluence and Slab have free plans with limits. Trainual is by demo. Captured October 26, 2026.
Is there free SOP software?
Free plans exist: Whale (1 creator, 10 members), Scribe Basic, Notion Free, Confluence and Slab up to 10 users. For writing a first SOP, Waybook's AI SOP creator drafts one from a description. None of the free plans records who read a procedure.
How much does Trainual cost?
Trainual does not publish its pricing; its pricing page lists plans by demo (checked October 26, 2026). Captured in its app in August 2026: Core $249 a month for 10 seats plus $3 per additional seat, billed annually. The full comparison is in Trainual alternatives.
How much should a 20-person team expect to pay for SOP software?
About $99 a month on Waybook (20 members included), $149 on SweetProcess, about $279 on Trainual's August 2026 in-app pricing, $249 on Whale Scale, $260 on Scribe Pro Team, $200 on Notion Plus, $150 on Confluence Standard, $133 on Slab Startup. Calculated from prices captured October 23 and 26, 2026.
What does the price include on Waybook?
SOPs, onboarding paths, the handbook and a knowledge base in one tool, read confirmation and tests on every document, Waybook Ask, Shots, the mobile app, Slack and Microsoft Teams notifications, and the AI Assistant on every plan.
How hard is it to switch SOP tools?
Not hard. Paste or attach your documents and Waybook's AI Assistant drafts the structured version; on paid plans Waybook offers a free data migration, usually mapped by its team in about a week. The slow part is deciding which version is current.
Is SOP software worth it for a small team?
From the first hire who needs a reading list on day one, yes. Before that a shared doc works. After it, the same questions reach the same person every week, and that time costs more than $99 a month.
How do I measure whether SOP software is working?
Track the share of assigned SOPs read and confirmed, the test pass rate on the critical ones, and how often people still ask instead of checking. Waybook's progress view shows the first two by person or by document.
Which plan should I pick on Waybook?
The base plan covers 20 members at $99 a month billed annually, with every feature and the AI Assistant included; additional members are $5 a month each. See the pricing page for the price at your team size.
Our recommendation
For a team of 10 to 200 people that needs procedures written, read and kept current, Waybook is the best value on this page: $99 a month billed annually for 20 members, every feature included, and a published price. A free wiki if you are under ten people and can live without proof for now. Start the 7-day free trial, put in the three procedures that cause the most questions, and see who has read them by Friday.
