By Mike Bandar, Co-founder of Waybook.
For a team of 10 to 200 people, Waybook is the compliance training software to buy when the training is your own policies and procedures and you have to prove it happened: each document is assigned to the roles it applies to, tested, and on Pro confirmed by name and date, with owners, review dates and an audit log. Pet People, a multi-site veterinary group, used it to go from 200-page Word documents to proving staff read and passed their training at the click of a button. The price is published, Core from $99 a month billed annually for 20 members and Pro, the best value for compliance, at $198, about $9.90 a member, with a 7-day free trial you start yourself.
If what you need is ready-made courses, such as state-mandated harassment prevention, EasyLlama or a learning management system with a course library is the right buy, and many teams pair one with Waybook. This guide compares seven tools for founders, HR leads and operations managers: a training-first playbook (Waybook), course libraries (EasyLlama, KnowBe4 Compliance Plus), learning management systems (TalentLMS, iSpring Learn, Schoox) and a training platform (Trainual).

What compliance training software has to prove
Compliance training exists for the day someone asks for evidence: an auditor, an insurer, a customer's security questionnaire or a dispute. A senior HR partner put the reason plainly: "So that if we've had a health and safety issue, then we can go, well, actually, we've provided the training and you didn't follow the process." A 145-driver towing fleet came to us after an incident for the same reason: they needed to send drivers the procedure, make sure they saw it, and keep the record for their Department of Transportation obligations. Three things make that evidence hold up.
Who confirmed which version, by name and date. Not that an email went out or a link was opened: that this person read and understood the current version of this policy.
A test where reading is not enough. For safety, data protection and anything with legal weight, a short test shows the training landed. See how to track training completion.
Retraining when things change. Policies change with the law and the business. Each one needs an owner and a review date, and a changed version has to go back to everyone it applies to, with a fresh confirmation.

The seven compliance training tools
1. Waybook
Waybook is a company playbook: policies, procedures, the employee handbook and onboarding paths in one place, with the training built into each document. For compliance training that means the policy and the procedure are the training: assigned to the roles they apply to, tested, and confirmed by name, so the record shows that this person read and understood this version.
What matters here: tests and assessments on any document, on every plan; progress and completion tracking by person or by document; learning paths and due dates so new starters cover the required policies in their first week; and on Pro, knowledge confirmation steps, document verification with review dates and owners, the approval process, full version history, the audit log and scheduled reports, which together are the evidence an auditor, insurer or customer asks for. When a policy changes, the new version goes back to the people it applies to. Staff read and confirm on the iOS and Android apps. See compliance training software. Capterra rates it 4.9 from 56 reviews.
Pet People, a multi-site veterinary group, went from 200-page Word documents to proving staff read and passed their training at the click of a button. As one CEO said after seeing it: "This is a lot better than just simply publishing a whole bunch of things for people to hopefully look at. Like this really makes sure that they are."
Why Pro is the best value for compliance training: it adds knowledge confirmation steps, document verification with review dates, the approval process, full version history, advanced due dates and the audit log to everything in Core, plus advanced permissions with a manager role, SSO and directory sync, scheduled reports and the Waybook MCP. At $198 a month billed annually for 20 members, that is about $9.90 a member a month, and Pro annual accounts over 50 seats get 10 hours of data migration included.
Getting set up is your choice. Every plan includes self-led implementation: the Getting Started course and a kickoff call with your account manager. Guided Implementation, $1,500, adds 10 hours of content migration, five working sessions with your account manager to build your Waybook together, and custom training for your team, with the aim of having everyone live in under 60 days.
Our limitation: Waybook does not sell a library of ready-made courses, such as state-mandated harassment prevention videos. If you need those, pair Waybook with a course library like EasyLlama for the off-the-shelf modules and keep your own policies, procedures and the record of who confirmed them in Waybook. For policies specifically, see the best policy management software.
2. EasyLlama
EasyLlama sells ready-made compliance courses, the kind of mandated training most HR teams would rather buy than build, and lets you upload your own policies for employees to acknowledge. BambooHR's compliance training courses are powered by it.
Pricing is per user per year: $24.95 per course, Core $59.95 or Ultimate $89.95, with a 10-user minimum and no free trial (captured November 4, 2026). It is strong on off-the-shelf courses; your operating procedures and the rest of how the company works live somewhere else.
3. TalentLMS
TalentLMS is a learning management system for building courses, enrolling learners and tracking completion, popular with small and mid-size companies that want a full LMS without enterprise pricing.
It has a free plan, then Core at $119 a month for up to 40 users, Grow at $229 and Pro at $449, and its course library is a paid add-on (captured November 4, 2026). Its site does not list policy acknowledgement, so confirming that staff read a specific policy version takes a workaround.
4. iSpring Learn
iSpring Learn is a corporate LMS for training departments, with course building, assessments and compliance certificate tracking that re-enrolls people in training before a certificate expires. It includes AI course development features.
Its Business plan starts at $6.91 per user a month for 100 users, $8,286 a year, falling per user at 300 and 500 users, with a 30-day trial; Enterprise is by quote (captured November 4, 2026). It is built for a training team producing courses, which is more than a business of 30 people usually needs.
5. KnowBe4 Compliance Plus
KnowBe4 is best known for security awareness and phishing training. Compliance Plus adds a library of compliance courses delivered through the same platform.
It is sold only as an add-on, from $0.93 per seat a month at 101 to 500 seats on a three-year term, and requires a KnowBe4 security awareness subscription (captured November 4, 2026). A good fit if IT already runs KnowBe4; it does not hold your own procedures.
6. Trainual
Trainual is a training platform with a policies section, quizzes and e-signatures, and the closest alternative to Waybook on this list. Its course library is an add-on, and e-signatures are capped by tier.
Prices are by demo, every plan carries a one-time $1,000 implementation fee, and Trainual says it is best suited to companies with 25 to 1,000 employees (captured November 4, 2026). See Waybook vs Trainual.
7. Schoox
Schoox is a learning platform built for frontline, multi-location workforces such as retail, restaurants and healthcare, with course delivery and tracking across locations.
Pricing is by quote, and its content library is licensed separately (captured November 4, 2026). It suits large frontline organizations with a learning team; for a business of 10 to 200 it is a heavy purchase.
Frequently asked questions
What is the best compliance training software for a small business?
For a team of 10 to 200 people training staff on its own policies and procedures, Waybook: tests on every document, knowledge confirmation by name and date, review dates and an audit log on Pro, at a published price with a 7-day free trial. For ready-made courses such as harassment prevention, EasyLlama.
What should compliance training software track?
Who was assigned each policy or procedure, who read and confirmed the current version and when, who passed the test, who is overdue, and when each document is next reviewed. Waybook tracks all of it, with the confirmation, review dates and audit log on Pro.
How much does compliance training software cost?
Waybook is $99 a month billed annually for 20 members on Core and $198 on Pro, about $9.90 a member. EasyLlama is $59.95 or $89.95 per user a year with a 10-user minimum. TalentLMS has a free plan, then $119, $229 or $449 a month. iSpring Learn starts at $6.91 per user a month for 100 users. KnowBe4 Compliance Plus is an add-on from $0.93 per seat a month. Trainual and Schoox price by demo or quote. All captured November 4, 2026.
Can I use my own policies for compliance training?
Yes. In Waybook your policies and procedures are the training: write or import them, add a test, assign them to the roles they apply to and collect a confirmation by name. Course libraries such as EasyLlama let you upload policies for acknowledgement beside their ready-made courses.
How do I prove employees completed compliance training?
Keep a record per person of what was assigned, read, confirmed and passed, with dates, and keep the version they confirmed. Waybook's progress view shows it by person or by document, and the audit log and scheduled reports on Pro give you the evidence to export.
What is the difference between compliance training software and an LMS?
An LMS is built to deliver courses. Compliance training also has to prove a named person read and understood a specific policy version and retrain them when it changes. Waybook does that on the documents themselves, without building courses. See training management software compared.
How do I keep an audit trail of process sign offs, and is it worth it for a small team?
Use a tool that records each approval and each confirmation with a name and a date, and keeps the version that was signed off. In Waybook, Pro adds the approval process, full version history and the audit log, so every change and sign-off is recorded. For a small team it is worth it the first time a customer, insurer or auditor asks you to prove it: Pro is $198 a month billed annually for 20 members, about $9.90 a member.
How do I get read confirmation on important documents, and how do I measure whether it is working?
Assign the document to the people it applies to and ask each one to confirm they read and understood it; Waybook does this with knowledge confirmation steps on Pro, with a test on any document when reading is not enough. Measure it by the share of people confirmed and passed, how long confirmations take and who is overdue, all in the progress view by person or by document.
How do I prove my team completed required training, and get them to actually do it?
Keep the training in the documents people already use, assign it by role with a due date, and follow up on whoever is overdue. The proof is a record per person of what was assigned, confirmed and passed, with dates. Waybook keeps that record as people train, and scheduled reports on Pro send it to managers, so nobody chases a spreadsheet.
Is there a free trial I can start today?
Yes. Waybook has a 7-day free trial you start yourself. Import your policies, add a test, assign them, and see who has confirmed by the end of the week.
Our recommendation
For teams of 10 to 200 people, Waybook Pro is the right choice for compliance training on your own policies and procedures: tests, knowledge confirmation by name, owners, review dates and an audit log, at about $9.90 a member a month. Add EasyLlama if you need ready-made mandated courses. TalentLMS or iSpring Learn if you have a training team building formal courses. KnowBe4 Compliance Plus if IT already runs KnowBe4. Start the 7-day free trial, import your policies, and see who has confirmed them by Friday.
