By Mike Bandar, Co-founder of Waybook.
For a dental practice of 10 to 200 people, Waybook is the tool to buy when the handbook, the clinical procedures and the training have to live in one place and prove they were read: it assigns each role its procedures and policies, records read confirmation by name and date, keeps every document current with an owner and a review date, and publishes its price, $99 a month billed annually for 20 members. Handbooks.io is the pick if you need the legal handbook text written for your state. Trainual suits a multi-site group that wants a fixed curriculum and can pay for it. This guide compares seven tools for practice owners, office managers and DSO operations leads. For handbook tools across every business type, see the best employee handbook software.

What a dental practice needs that a generic handbook tool does not give it
A dental practice runs on a small team with high turnover at the front desk and in assisting, and on training it has to be able to prove. Three things follow.
Compliance training with a record per person. OSHA's bloodborne pathogens standard requires training every year, and HIPAA requires the workforce to be trained on the practice's privacy and security policies. An inspection or a complaint asks who was trained, on which version, and when. A signed sheet in a drawer answers the first part; a read confirmation by name and date answers all three.
A new front desk or assistant productive in a week. Scheduling, insurance verification, sterilization steps, room turnover: each new hire needs the procedures for their role, in order, with a short check, and not the whole practice manual.
One current version across chairs and sites. When a sterilization step or a billing rule changes, every assistant and every site has to be on the new version the same day, and the old laminated sheet has to stop circulating.
A binder in the back office and a handbook PDF from onboarding handle none of the three, which is why so much of a practice's method lives in the office manager who has been there longest.
Seven tools at a glance, and our verdict

Handbooks.io | Writes the handbook text for your US state with optional e-signatures. The pick for the legal text; not a home for clinical procedures or training. | Free basic handbook; Starter $179 one-time for up to 10 employees in one state; Growth $369 for up to 50 employees in five states; optional yearly subscription (captured October 23, 2026). |

Trainual | Structured training curricula with tests and completion tracking; suits a multi-site group with someone to build the curriculum, and the price is a sales call. | No published price; plans by demo (checked October 26, 2026). Captured in its app in August 2026: Core $249 a month for 10 seats. |
Connecteam | Deskless employee app with scheduling, time clock, documents and courses on the phone. Strong for shifts; documentation and training sit in a separate hub. | Free for up to 10 users; each hub from $29 a month for the first 30 users, billed yearly (captured October 23, 2026). |
Notion | Flexible wiki for the office side of the practice. No read confirmation, no role paths and no owner or review date on a page. | Free plan; Plus $10 a seat a month; Business $20 (captured October 26, 2026). |
Google Docs or a binder | Already paid for. The binder is out of date the week it is printed, and nobody can tell who read it. | Included in a Google Workspace subscription. |
The verdict column is written for a practice owner, office manager or DSO operations lead with 10 to 200 people. A dental group with its own compliance and training departments is a different buyer.
The seven tools for a dental practice
1. Waybook
Waybook is a company playbook: the handbook, SOPs, onboarding paths and a searchable knowledge base in one place, with read confirmation and tests on any document, on the web and the mobile app. For a dental practice that means the handbook and the clinical, sterilization, front-desk and billing procedures in one library, a group per site, and a path for each role that a new assistant or receptionist works through in their first week.
What matters here: read confirmation by name and date on every policy and procedure, which is the record an OSHA inspection, a HIPAA complaint or a state board asks for; a short test on the steps that carry risk; owners, review dates and version history, so one current version exists across every chair and site; groups and permissions, so front desk and clinical staff each see their own procedures; the AI employee handbook generator and the AI Assistant to draft the first version; and Waybook Ask, which answers a new hire's question from your own procedures. Capterra rates it 4.9 from 56 reviews. See employee handbook software.
Our limitation: Waybook is not practice management software and does not write state-specific legal text or give legal advice. Patient records and scheduling stay in your practice management system; for the legal handbook text, pair Waybook with an employment lawyer or a tool such as Handbooks.io, and keep the result in Waybook where it is read and kept current.
2. Handbooks.io
Handbooks.io writes the handbook for you: essential policies plus state and city-specific policies for US employers, downloadable as a Word document, with optional e-signatures and policy updates on a subscription. For a practice that does not have the legal text yet, it is the fastest route to it.
It is a handbook writer, not a home for clinical procedures or training. Free basic handbook; Starter $179 one-time for up to 10 employees in one state, Growth $369 for up to 50 employees in five states, optional yearly subscription (captured October 23, 2026).
3. AirMason
AirMason is a dedicated digital handbook platform: branded handbooks, digital signatures, automatic versioning and signature reminders, with copywriting services on top.
It does the handbook well and only the handbook. Clinical procedures and training live elsewhere. Startup plan for 1 to 99 employees is $999 a year, or $149 a month billed monthly (captured October 23, 2026).
4. Trainual
Trainual organizes training into subjects, lessons and tests in a fixed order, with completion tracking by role. A multi-site group that wants one curriculum for every new hire, and has someone to build it, will find it familiar.
For a single practice it is heavy and expensive. Its pricing page lists plans by demo (checked October 26, 2026); captured in its app in August 2026, Core is $249 a month for 10 seats, billed annually. Our comparison is at Trainual alternatives.
5. Connecteam
Connecteam is an app for deskless teams: scheduling, time clock, documents, courses and chat on the phone. A practice that runs shifts on Connecteam can keep the handbook there.
It is sold as separate hubs, so documents and training sit apart from scheduling, each priced on its own. Free for up to 10 users; each hub starts at $29 a month for the first 30 users, billed yearly (captured October 23, 2026).
6. Notion
Notion works well for the office side of a practice: supplier notes, marketing plans, meeting notes. As the home for the handbook and clinical procedures it falls short.
There is no read confirmation, no role path and no owner or review date on a page, so staff cannot be shown to have read anything. Plus is $10 a seat a month and Business $20 (captured October 26, 2026). Our comparison is at Waybook vs Notion.
7. Google Docs or a binder
Already paid for, and where most practice procedures live today. A printed binder works until the first procedure changes.
After that it is out of date, the laminated sheet by the autoclave differs from the one in the drawer, and nobody can tell who read the new version. It is a filing cabinet, not a system.
Which employee handbook tool should I buy for a dental practice, and how quickly can we get set up?
If you need the legal text written for your state, start with Handbooks.io or an employment lawyer, then put the result where it will be read. If you need the handbook read, signed for and kept current beside the clinical procedures, Waybook. Setup is a day: generate or import the handbook, add the sterilization, front-desk and billing procedures, assign everything by role with a read confirmation, and have the legal text checked before you rely on it. A 20-person practice on Waybook is typically assigned and read-confirmed inside a week.
What is the best training software for a dental practice?
At practice size, training is the procedures: sterilization, room turnover, insurance verification, the phone script, the privacy policy. The best training software is the one where the procedure is the training: a path per role, a short test on the steps that carry risk, and a record per person of who read and passed it, with the date. Waybook does that. A course-based LMS fits a group that runs formal certified courses across many sites; most practices are not that. The compliance items, OSHA bloodborne pathogens and HIPAA, sit in the same path with the same record. More in our training software comparison.
Which tool should I buy to systemize a dental practice, and how quickly can we get set up?
One tool for the handbook, the procedures and the training, so the office manager maintains one thing. Start with the five procedures the newest hire asks about most and the two compliance policies, assign them by role, and add the rest a department at a time. In Waybook the first procedures exist the same day; plan a month to cover everything the practice is asked about weekly. The record of who read what builds itself from the first assignment.
How a growing practice did it
Pet People, a veterinary practice, built a single source of truth for a growing clinical and front-desk team in Waybook: procedures by role, read confirmation per person, and one current version as the team grew. The story is at waybook.com/success-stories/pet-people. A dental practice has the same shape, a clinical team and a front desk with turnover, the same compliance record to keep, and the same office manager holding it together, so the method transfers directly. Calm Again Counselling, a clinic, did the same for its policies and intake procedures.
Frequently asked questions
Which employee handbook tool should I buy for a dental practice, and how do I get started this week?
Waybook, if the handbook has to be read, signed for and kept beside the clinical procedures; Handbooks.io or a lawyer first if you need the state legal text. This week: generate or import the handbook on day one, assign it with a read confirmation on day two, and see who has read it by Friday.
As a first-time manager: what is the best training software for a dental practice?
One where the procedure is the training: a path per role, a short test on sterilization and privacy steps, and a record per person. Waybook does that from $99 a month billed annually for 20 members.
How do I prove OSHA and HIPAA training for an inspection?
Keep a per-person record of the document, its version, the read confirmation with its date and the test result. Waybook keeps that record for every assigned document, and the annual bloodborne pathogens training sits in the same path with a review date.
What should a dental practice document first?
Sterilization and room turnover, the front-desk phone and scheduling script, insurance verification and billing, the privacy policy, and the first week for the role you hire most.
How do I onboard a new dental assistant or receptionist quickly?
Build one path per role made of the procedures that role uses, assign it before the first day, and require a read confirmation and a short test on the clinical steps. Waybook's progress view shows per person what is read, passed and still open.
How do I keep procedures the same across several practice locations?
One copy of each procedure with one owner, a group per site, and a fresh read confirmation when anything changes. Waybook shows per site who has read the current version.
Does Waybook replace our practice management software?
No. Patient records, scheduling and billing stay in your practice management system. Waybook is where the handbook, the procedures and the training live, and staff open it on the same phone or screen.
Can staff read procedures on a phone?
Yes. Waybook has a mobile app, and updates reach people through Slack and Microsoft Teams notifications as well.
How hard is it to move our existing binder across?
Paste or attach the documents and Waybook's AI Assistant drafts the structured version; on paid plans Waybook offers a free data migration, usually mapped by its team in about a week.
Is there a free trial I can start today?
Yes. Waybook has a 7-day free trial you start yourself. Put in the sterilization procedure and the privacy policy, assign them, and see who has read them by the end of the week.
Our recommendation
For dental practices and DSOs of 10 to 200 people, Waybook is the right choice: the handbook, the clinical and front-desk procedures and the training in one place, read confirmation by name and date, role paths for new staff, one version across sites, and a published price. Handbooks.io beside it if you need the state legal text. Trainual if you run a multi-site group with someone to build a curriculum. Start the 7-day free trial, put in the sterilization procedure and the privacy policy, and see who has read them by Friday.
