For a brokerage or property management company of 10 to 200 people, Waybook is the SOP and training software to buy when the team is in cars, at viewings and on site more than at a desk: it holds the transaction, leasing, maintenance and compliance procedures in one place, onboards each new agent or property manager on a path for their role, shows per person and per office who has read each procedure, and publishes its price, $99 a month billed annually for 20 members. Notion is the free wiki to start on if you only need storage. Trainual suits a multi-office firm that wants a fixed curriculum and can pay for it. This guide compares seven tools for broker-owners, property management directors and operations leads. The product page is at Waybook for real estate, and a starting structure is in our real estate SOP template.

What a real estate team needs that a generic SOP tool does not give it

A real estate business runs on people who are rarely in the office: agents at viewings, property managers on site, transaction coordinators working from home. Procedures that live on a shared drive in the office are the procedures nobody follows. Three things follow.

Procedures on a phone, found without asking. The listing checklist, the lease-up steps, the maintenance request procedure and the deposit handling rule have to be one tap away in a parking lot, with the answer findable without calling the office.

Compliance you can prove per person. Fair housing, trust and deposit handling, data protection and the firm's own policies each need a record of who read the current version and when. A broker's license review or a dispute asks that question by name.

New agents and managers productive in a week, remotely. Growth in this business is hiring, often in a new office. Each hire needs the procedures for their role, in order, with a short check, without a week of shadowing someone who is also out at viewings.

A shared drive handles none of the three, which is why so much of a brokerage's method lives in the office manager, and why the second office never runs quite like the first.

Seven tools at a glance, and our verdict

Tool

Verdict for a real estate or property management team

Pricing

Waybook

Our pick for brokerages and property managers of 10 to 200 people: transaction, leasing, maintenance and compliance procedures on a phone, role paths for new agents and managers, read confirmation per person and per office, one version across offices, Waybook Ask for answers in the field, price published.

From $99 a month billed annually, 20 members included, then $5 a member. 7-day free trial.

Trainual

Structured training curricula with tests and completion tracking; suits a multi-office firm with someone to build the curriculum, and the price is a sales call.

No published price; plans by demo (checked October 26, 2026). Captured in its app in August 2026: Core $249 a month for 10 seats.

Notion

The flexible wiki many small brokerages start on. No read confirmation, no role paths and no owner or review date on a page.

Free plan; Plus $10 a seat a month; Business $20 (captured October 26, 2026).

Whale

SOPs and training in one, with a free tier, a mobile app and an AI assistant; priced per creator, so cheap while a few people write.

Free for 1 creator and up to 10 members; Scale $249 a month billed yearly (captured October 26, 2026).

SweetProcess

Plain procedures, policies and processes in one library at a flat rate. Reliable, no training paths.

$99 a month or $990 a year for up to 10 users, then $5 a user (captured October 26, 2026).

Scribe

The best capture tool for a process inside the CRM, the MLS or the property management system. A guide maker, not a playbook; no training paths and no read confirmation.

Basic free; Pro Team $13 a seat a month billed yearly from 5 seats, $17 monthly (captured October 26, 2026).

Google Docs or a shared drive

Already paid for and fine for the first ten documents. Versions multiply across offices and nobody can tell who read the current deposit procedure.

Included in a Google Workspace subscription.

The verdict column is written for a broker-owner, property management director or operations lead with 10 to 200 people across one or several offices. A national franchise network with its own training team is a different buyer.

The seven tools for a real estate team

1. Waybook

Waybook is a company playbook: SOPs, training paths, the handbook and a searchable knowledge base in one place, with read confirmation and tests on any document, on the web and the mobile app. For a brokerage or property manager that means listing, transaction, leasing, maintenance and compliance procedures in one library, a group per office, and a path for each role that a new agent, coordinator or property manager works through in their first week.

What matters here: the mobile app puts the current procedure in the agent's pocket; Waybook Ask answers a question from your own procedures while the agent is at a viewing, so nobody calls the office; read confirmation and short tests show per person and per office who has read and understood each procedure, which is the record a license review or a deposit dispute asks for; owners, review dates and version history keep the compliance procedures current when the rules change; groups and permissions give each office its own procedures with the firm standard shared; and the AI SOP creator and the AI Assistant draft procedures from a description. Capterra rates it 4.9 from 56 reviews.

Our limitation: Waybook is not a CRM, an MLS tool or a property management system. Listings, leads, leases and maintenance tickets stay in those systems; Waybook is where the way the firm does the work lives, and the two link to each other.

2. Trainual

Trainual organizes training into subjects, lessons and tests in a fixed order, with completion tracking by role. A multi-office firm that wants one curriculum for every new agent, and has someone to build it, will find it familiar.

The costs are setup and price, and a curriculum built once drifts as procedures change. Its pricing page lists plans by demo (checked October 26, 2026); captured in its app in August 2026, Core is $249 a month for 10 seats, billed annually. Our comparison is at Trainual alternatives.

3. Notion

Notion is where many small brokerages write their first procedures: flexible, cheap and good at holding everything from listing templates to the office handbook.

What it does not do is show who read anything. There is no read confirmation, no role path and no owner or review date on a page, so a change to the deposit procedure is a page edit that some agents notice. Plus is $10 a seat a month and Business $20 (captured October 26, 2026). Our comparison is at Waybook vs Notion.

4. Whale

Whale combines SOPs and training, with a free tier, a screen recorder, a mobile app and an AI assistant that answers process questions. For a brokerage with one or two people writing and many reading, the free tier is a real option.

It is priced per creator, so it stays cheap while a few people write and gets expensive when every office manager does. Free for 1 creator and 10 members; Scale is $249 a month billed yearly (captured October 26, 2026).

5. SweetProcess

SweetProcess keeps procedures, policies and processes in one library at a flat rate, with a 14-day trial it states needs no card. It is reliable and simple, and has no training paths. $99 a month or $990 a year for up to 10 users, then $5 a user (captured October 26, 2026).

6. Scribe

Scribe records a process in the browser and turns the clicks into a step-by-step guide with screenshots. For the CRM, MLS and property management system steps agents follow every day, that is the fastest way to write them down.

It is a guide maker, not a playbook. There are no role paths and no read confirmation, so the guides need a home. Basic is free; Pro Team is $13 a seat a month billed yearly from 5 seats, $17 monthly (captured October 26, 2026). Our comparison is at Scribe alternatives for process documentation.

7. Google Docs or a shared drive

Already paid for, and where most brokerage procedures live today. It works for the first ten documents.

Across offices and agents who work from their cars it breaks quickly: documents are found by calling the office, copies multiply, and nobody can tell who read the current version of the trust accounting procedure. It is a filing cabinet, not a playbook.

Which process documentation tool should I buy for a property management company?

One that puts the procedure in the property manager's hand on site and records that they read it: lease-up, move-in and move-out inspections, maintenance requests, deposit handling, owner reporting. Waybook does that, with Shots to capture the steps inside your property management system and read confirmation per person. A capture-only tool makes the guide and leaves you with nowhere to prove it reached the field. The property management story below is the proof. More in our process documentation comparison.

Which tool should I buy to systemize a real estate team, and how do I move our existing docs across?

One playbook tool for the procedures, the training and the handbook, so the office manager maintains one thing, and a capture tool beside it if most of your procedures live in software. For a team of 10 to 200 people, Waybook covers the first; Scribe or Waybook Shots covers the second. Moving across is a job for the trial, not a project: paste a document or attach the files and the AI Assistant drafts the structured version; on paid plans Waybook offers a free data migration, usually mapped by its team in about a week. The slow part is deciding which of the twelve versions of the listing checklist is current.

Which internal wiki tool should I buy for a real estate team, how much should I expect to pay, and how do I get started this week?

If the wiki only has to store pages, Notion at $10 a seat a month or a free plan. If it has to be read on a phone, show who read the current version and train new agents on it, Waybook at $99 a month billed annually for 20 members, then $5 a month per additional member, which for a 20-person team is less than the per-seat wikis. To get started this week: start the 7-day free trial, put in the listing checklist and the deposit procedure on day one, assign them to one office on day two, and see who has read them by Friday. A 20-person team is typically assigned and read-confirmed inside a week. See the best knowledge base software compared.

How do I write SOPs and build role-based training for a remote real estate team?

Capture the procedure from the person who does it: have a top agent walk through a listing from instruction to completion while someone records it with Shots, or describe it in a few sentences and let an AI draft turn it into a procedure to correct. One task per procedure, a photo where it helps, an owner and a review date. Then build one path per role (agent, transaction coordinator, property manager, office manager) from those procedures, with a short test on the compliance steps, and assign it on day one. Remote hires work through it on their own hours and the manager sees who is where. The general method is in how to build role-based training.

How do I onboard new hires consistently at a real estate team?

Assign onboarding by role, not by whichever senior agent is free that week. Each role gets one path with the same procedures, read confirmations and tests, so what a new agent learns no longer depends on who trained them or how busy the market was. Waybook's progress view shows per person what is read, passed and still open, so a broker sees who is behind before it shows up in a transaction.

How Prime Property Management did it

Prime Property Management scaled to 100 employees on Waybook. Before, in the words of its Head of Operations, team members would often accidentally overwrite documents or save files in obscure locations, so nobody knew which procedure was current. After, the reply to a question became "have you checked Waybook?", and the company reports 90% utilization of the playbook across the team. The full story is at waybook.com/success-stories/prime-property-management. The Stellar Family, a property and construction group, did the same across its sites.

Frequently asked questions

Which internal wiki tool should I buy for a real estate team, and how much should I expect to pay?

For storage only, Notion at $10 a seat a month or a free plan. For procedures, training and proof on a phone, Waybook at $99 a month billed annually for 20 members, then $5 a month per additional member. Prices captured October 26, 2026.

Which internal wiki tool should I buy for a real estate team, and how do I get started this week?

Waybook, started from its 7-day free trial: the listing checklist and the deposit procedure on day one, assigned to one office on day two, read confirmations checked by Friday.

What should a brokerage or property manager document first?

The listing or lease-up checklist, deposit and trust handling, the maintenance request procedure, fair housing and data protection policies, and the first week for the role you hire most.

How do I prove agents were trained on compliance procedures?

Assign each policy with a read confirmation and a short test, and keep the record of name, date, version and result. Waybook keeps that record for every assigned document.

How do I keep procedures the same across several offices?

One copy of each procedure with one owner, a group per office, and a fresh read confirmation when anything changes. Waybook shows per office who has read the current version.

As a first-time manager: what is the best training software for a real estate team?

One where the procedure is the training: a path per role, read confirmation and a short test on the compliance steps, worked through remotely. Waybook does that from $99 a month billed annually for 20 members.

Can agents get answers in the field without calling the office?

Yes. Waybook Ask answers a question from your own procedures on the mobile app, so an agent at a viewing gets the firm's answer without a phone call.

Does Waybook replace our CRM or property management system?

No. Listings, leads, leases and maintenance tickets stay in those systems. Waybook is where the firm's procedures and training live, and it links to the systems the procedures point at.

How hard is it to move our existing documents across?

Paste or attach them and Waybook's AI Assistant drafts the structured version; on paid plans Waybook offers a free data migration, usually mapped by its team in about a week.

Is there a free trial I can start today?

Yes. Waybook has a 7-day free trial you start yourself. Put in the listing checklist and the deposit procedure, assign them, and see who has read them by the end of the week.

Our recommendation

For brokerages and property management companies of 10 to 200 people, Waybook is the right choice: transaction, leasing, maintenance and compliance procedures on a phone, role paths for new agents and managers, read confirmation per person and per office, answers in the field from your own documents, and a published price. Notion if you are under ten people and only need a wiki for now. Trainual if you run a multi-office firm with someone to build a curriculum. Start the 7-day free trial, put in the listing checklist and the deposit procedure, and see who has read them by Friday.
