Custom Fields on Documents

Every organization has metadata that matters to it and to nobody else: the ID of a procedure in an external quality system, the region a policy applies to, whether a document is client-facing, which ISO clause it satisfies. Custom fields let you capture that data in a structured way, consistently, across every document in your Waybook.

Fields are created once at team level, so every document shares the same set. Give each field a name and an optional description, choose text, dropdown or yes/no, and decide whether values must be unique. Then set values on the documents where they apply from the document's settings. Fields aren't required, so a document that has no reference ID simply leaves it blank, and only people with edit access to a document can change its values.

The payoff comes in Document Manager. Add your custom fields as columns to scan the whole knowledge base at a glance, and use them as filters to pull up every document for a region, every procedure awaiting review, or every document flagged as client-facing. It turns a large library into something you can slice by the criteria your business actually uses.
